Welcoming a new team member without a ready workstation sends the wrong signal. Here's the 30-minute checklist for effective IT onboarding.

D-7: Hardware preparation

  • Verify workstation availability (laptop + monitor + dock)
  • If renewal needed: order placed 5 days in advance
  • Image workstation with standard image (Intune Autopilot or clone)
  • Test corporate Wi-Fi access

D-3: Accounts and access

  • Create M365 / Google Workspace account
  • Assign licenses (Business Standard usually sufficient)
  • Enable MFA in conditional policy
  • Create corporate email address @company.com
  • Add to Teams/Slack groups and channels

D-1: Workstation preparation

  • Connect workstation with M365 account
  • Synchronize OneDrive
  • Install business applications (CRM, ERP, etc.)
  • Test printing to corporate printers
  • Set up email signature

D0: User welcome

  • Hand over workstation + dock + monitor
  • Provide temporary credentials + mandatory change requirement
  • 15-minute training: MFA, password manager, anti-phishing, backup
  • Provide written procedures document (1 page)
  • Clearly identify IT contact or support

D+30: Follow-up

  • Verify MFA is functioning
  • Confirm OneDrive backup is active
  • Address any additional software requests
  • Gather IT experience feedback
